Cancellation of an event by the organizer

In the event of cancellation by the organizer, any participation fees already paid will be refunded to the participants. Any additional amounts for travel and accommodation will not be refunded.

Cancellation of an event by the participant

In the event of cancellation by the participant - unless otherwise stated at the event - the following cancellation rates apply:

If you cancel your participation, the following fees will apply:

20% of the congress fee from booking up to 3 months before the event

40% of the congress fee 3 months to 2 months before the event

60% of the conference fee 2 months to 1 month before the conference

90% of the congress fee 1 month to 1 day before the VA

100% of the congress fee in the event of a no-show

Any fees charged by the credit card company must be paid additionally by the participant. In the event of non-participation without prior cancellation, the organizer is entitled to charge the full participation fee.

Changes to the scientific programme

Short-term changes to the scientific programme may be necessary due to business, private and organizational matters and will be announced on the congress website. No recourse claims can be derived from this.

Your access data (for hybrid / virtual events)

You will receive your access data (depending on the platform: download link / user name / password) one day before the start of the event, subject to receipt of full payment of the participation fee. If the access data cannot be sent on time due to late payment, this does not entitle you to cancel the event free of charge. Passing on your access data is prohibited and will be reported to the scientific management.

Covid19 - Info / change of the event format

Should the infection situation or other general conditions make it necessary, the organizer reserves the right to change the congress format to a purely virtual format. A change in the congress format does not entitle the organizer to a free cancellation. Furthermore, no recourse claims can be derived from this.

Responsibility for content, data and/or information provided by users

The organizer accepts no responsibility for the content, data and/or information provided by users of the platform or for content on linked external websites. The user is solely responsible for the content posted by the user.

Data protection

The participant agrees that the personal data provided by him/her may be processed for the following purposes:

Registration for congresses / events

accreditation

Travel and hotel organization

Documentation / submission to the certifying bodies

The organizer undertakes to comply with the statutory provisions of the General Data Protection Regulation when processing personal data.

Claims for damages

Conventive Kongressagentur GmbH shall only be liable for damages within the scope of the statutory provisions if the participant can prove intent or gross negligence. Liability for slight negligence is excluded.

Claims for damages by the customer, in particular due to delay, impossibility of performance, positive breach of contract, culpa in contrahendo, defective or incomplete performance, consequential damages or tortious acts are excluded, unless they are based on intent or gross negligence on the part of Conventive Kongressagentur GmbH.

Any claim for damages can only be asserted within six months of knowledge of the damage, unless otherwise excluded.

Any liability of Conventive Kongressagentur GmbH for claims asserted against the customer on the basis of the services is expressly excluded; in particular, Conventive Kongressagentur GmbH shall not be liable for legal costs, the customer's own legal fees or costs of publication of judgments as well as for any claims for damages or other claims of third parties. In the event that a claim is made against Conventive Kongressagentur GmbH for the performance of a service, the customer shall indemnify and hold Conventive Kongressagentur GmbH harmless.

Due date and payment

The invoices of Conventive Kongressagentur GmbH are due net cash without any deduction from the invoice date and must be paid within the period stated on the invoice. In the case of short-term registration - within 14 days before the start of the event - the invoice is due immediately and must be paid immediately upon receipt of the invoice. In the event of late payment, the statutory default interest shall be deemed to have been agreed.

Applicable law

The legal relationship between the customer and Conventive Kongressagentur GmbH shall be governed exclusively by Austrian law to the exclusion of international conflict of law rules. The provisions of the UN Convention on Contracts for the International Sale of Goods shall not apply.

The place of performance shall be the registered office of Conventive Kongressagentur GmbH.

The place of jurisdiction for all disputes arising directly between Conventive Kongressagentur GmbH and the customer shall be the Austrian court with local and subject-matter jurisdiction for the registered office of Conventive Kongressagentur GmbH.
